Murphy's Custom Homes is a Colorado-based luxury custom home builder known for high-quality craftsmanship, thoughtful communication, and highly personalized custom homes. As the company continues to grow, we are looking for a highly organized, proactive, and detail-oriented remote support professional to become a key operational support person for the business. This position will begin as a hybrid role supporting executive assistance, office management, operations coordination, lead tracking, and financial coordination, with the opportunity to grow as responsibilities expand.
The Virtual Operations & Financial Coordinator will support the owner and leadership team with scheduling, inbox organization, file management, lead tracking, estimating support, bookkeeping coordination, job costing, purchase orders, allowances, and change orders. This role is ideal for someone who is finance-savvy, comfortable with construction-related details, and able to help keep the business organized behind the scenes. Over time, this person may help transition responsibilities away from the current remote bookkeeping/payroll company and take on more financial coordination for the business.
Key Responsibilities
- Manage and organize the owner's calendar, schedule, email, files, and administrative priorities
- Track incoming leads, update lead information, and help nurture prospects through follow-up communication
- Maintain organized digital files, records, documents, and project-related information
- Support job costing, estimating, purchase orders, allowances, change orders, and project financial tracking
- Assist with Buildertrend updates, project documentation, budget tracking, and financial information
- Coordinate with project managers, vendors, subcontractors, bookkeepers, and internal team members
- Assist with reviewing financial details, invoices, and documentation prior to payment processing.
- Assist with invoice tracking, payroll/bookkeeping coordination, reporting, and administrative follow-up
- Identify gaps, improve systems, and help keep the office and operations side of the business organized
Qualifications
- Previous experience as an Executive Assistant, Virtual Assistant, Office Manager, Operations Coordinator, Financial Coordinator, or similar role
- Construction, custom home building, real estate, architecture, design, or trade-related experience strongly preferred
- Bookkeeping, job costing, estimating, or financial coordination experience preferred
- QuickBooks experience preferred
- BuilderTrend or construction management software experience is a plus
- Strong organizational skills and excellent attention to detail
- Comfortable managing email, calendars, documents, spreadsheets, and follow-up systems
- Strong written and verbal English communication skills
- Proactive, trustworthy, confidential, and able to work independently
- Comfortable using modern digital tools and systems to improve efficiency
Pay and Benefits
- This position may be structured as an independent contractor role, depending on the candidate's location.
- Pay range: $8-$15 USD per hour, based on experience, construction industry knowledge, and financial coordination skills
- Full-time or part-time-to-full-time hours, depending on candidate fit
